DashboardComing soon
The team screen with the community's day in one place - four indicators compared with the previous week, the pending actions (with approve and reject for moderation right there), the 14-day chart, presence by hour, upcoming bookings, expected visitors and money. Who sees it, what each number means and when it updates.
The Dashboard shows, on one screen, how the community is doing today: who is active, whether the base is growing, how much was sold, how much people take part and what is waiting for someone on the team. It updates by itself, so it can stay open at the front desk or on a second monitor.
Coming soon Coming to communities: the Dashboard is ready and shows up in the menu when the update goes live. Until then, the same numbers are still on each module's screens, in Monetization and in the assistant's reports.
Where it is and who sees it
It's in the side menu, under Administration › Dashboard, next to Members and Monetization.
| Role | Sees the Dashboard | Sees Revenue and Money |
|---|---|---|
| Owner and admin | ✔ | ✔ |
| Finance | ✔ | ✔ |
| Moderator | ✔ | — |
| Member | — | — |
The moderator gets the screen without the Revenue indicator and without the Money block: the information never reaches them, it isn't just hidden. In place of Revenue, the moderator sees Occupancy (when the community has a Presence space) or New content. A member who opens the address anyway lands on the restricted access screen. See Roles and permissions.
How the screen is organized
The screen has three layers, from the most general to the most detailed.
1. The four indicators
| Indicator | What it shows | Under the number |
|---|---|---|
| Active members | Different people who did something in the last 7 days | The share of the base (for example, "42% of the base") |
| Growth | Who joined minus who left in the last 7 days | "12 joined, 3 left" |
| Revenue | Gross sales of the last 7 days | The number of sales in those 7 days |
| Engagement | The week's activity | Reactions, comments and new content |
Details of each one:
- Active members uses the same definition as the engagement report: active means someone who posted, commented, reacted, answered an event, studied in a course or earned points. Only reading doesn't count. Each person is counted once, even if they did ten things.
- Growth adds those who joined the community and subtracts those who left: removed profiles and canceled subscriptions in the window (complimentary ones don't count).
- Revenue is the gross sales amount, in the community's main currency. It only shows for owner, admin and finance.
- Engagement adds reactions, comments, posts, articles, classifieds, gallery images and events created.
Each indicator carries a mini-line of the last 14 days and the comparison with the previous week (the last 7 days against the 7 before them), with an arrow and color. Clicking the card takes you to the related screen: Members, Content or Monetization, depending on the indicator.
When the absolute difference shows instead of the percentage. A percentage misleads when the base is small: going from 2 to 6 is "+200%", but it's only 4 people. So the card shows the difference in numbers (for example, "+79 vs. last week" or "+$120.00 vs. last week") when:
- the previous week had fewer than 5 records (or none);
- the change is above 500%;
- the indicator is Growth, which is a difference by nature.
When the previous week has no data at all, the card says "No comparison".
2. Pending actions
A list of what is waiting for the team, from most to least urgent (and, among equals, from the largest number to the smallest). Items at zero are left out, and an empty list shows "All caught up".
| Action | When it appears |
|---|---|
| Awaiting moderation | There are pending items in the Moderation queue |
| Parcels waiting for pickup | Parcels sitting for more than 3 days |
| Visitors expected today | Expected visitors who haven't arrived yet |
| Bookings starting soon | Bookings that start in the next hour |
Clicking an action (Open) takes you to the module or the item. The moderation one is special: it shows the total and the 5 most recent items of any type (content, course, event, gallery, status, classified and download), each with type, title, author and how long ago it was sent.
- Clicking the item opens its review.
- Approve publishes the item right away; it leaves the list and the total drops by one.
- Reject opens a window that asks for the reason for rejecting (required) and says the author will be notified. Canceling the window doesn't change the item.
The same rules as the moderation queue apply: whoever can decide there can decide here. If someone else decides the same item between one refresh and the next, the action answers with the queue's standard error and the list corrects itself.
3. More data and insights
Below the actions, under More data and insights, are the details. Each block only shows if the community uses the matching module.
| Block | What it shows | Shows when |
|---|---|---|
| Last 14 days | Daily chart with tabs Engagement, Presence, Bookings and Sales | Engagement always; the other tabs with the module (Sales only for those who see money) |
| Presence by hour today | Entries in each hour of the day, with the current hour highlighted | There is a Presence space |
| Next bookings | The next confirmed bookings today, with time, room and who booked | There is a Bookings space |
| Expected visitors | Who is expected today and whether they have arrived | There is a Visitors module |
| Insights | Up to four rule-generated sentences (no AI), like "Engagement is up 22% from the previous week" | There is something to say |
| Money | Sales today, gross amount today, new subscriptions and canceled subscriptions today, and the 14-day gross amount chart | Only for owner, admin and finance |
| Engagement | The week's comments, events in the next 7 days and active course enrollments | Always |
The Open Monetization button, in the Money block, takes you to Monetization. The possible insights: engagement up or down (from a 15% change), the day's presence peak, the weekday with the most bookings and the warning of a barely active base in the last 7 days.
When and how it updates
- The screen updates by itself every minute, without reloading the page or losing the scroll position.
- The Refresh button fetches the numbers right away.
- Next to it, Updated at HH:mm shows the time of the last update, in the community's time zone.
- With the tab hidden, it stops fetching; when you come back, it updates right away and resumes the cycle.
- If an update fails (for example, the internet dropped), the last numbers stay on screen with the notice "Could not refresh", and the time shown remains that of the last successful update.
- Behind the scenes, the numbers are kept for about 30 seconds, so two team members opening the screen together see the same result.
The time windows:
| Number | Window |
|---|---|
| Today (bookings, visitors, sales, subscriptions) | The day in the community's time zone: a booking at 11:30 pm local time counts on the right day |
| Engagement, active members and growth | The last 7 days, compared with the 7 before |
| Charts and mini-lines | The last 14 days |
Cards by module
The Dashboard needs no setup. It builds the screen from what the community has: with no Bookings space, there's no "Next bookings" and no Bookings tab; with no Visitors, no "Expected visitors"; and so on. A community that has no modules yet sees Engagement (and Money, depending on the role). If one block fails to load, the others carry on as normal.
Frequently asked questions
Why is the "active members" number lower than the member count? Active means someone who did something during the week. Just looking at the feed doesn't count.
Does the Dashboard show the balance or fees? No. Money is only that of the day's sales and subscriptions; balance and statement are in Balance and statement.
Can I see this through the assistant? Yes. Ask "how is the community today?" and the assistant uses the get_dashboard tool. See Reports and charts.
