E-mails from this community

How a member chooses, by category, the e-mails they get from each community in My Account › Notices (events, courses, calls, surveys, forms, posts, downloads, store, recognitions, feedback, messages, team announcements and reminders), the shortcuts, what always arrives and the one-click unsubscribe with Undo.

Each person chooses what they get by e-mail from each community, category by category. The choice is theirs: the community's team neither sees nor changes anyone's preference, only the number of people who will get a notice.

Where it is

In My Account, in the Notices section (/account?tab=emails), the Notices from this community card, in the E-mail box. Right below are the same categories for SMS and WhatsApp; each channel's switch is in the Phone: SMS and WhatsApp card, in the same section, and the phone is confirmed in My Account › Account (see SMS and WhatsApp notices). The choice applies only to the community you are in; in another community your preference is a different one. Whoever opens the address without being signed in sees "Sign in to choose the e-mails you get from this community."

All of them start on: whoever joined the community wants to know what happens in it, even without opening the app every day.

Reminders and updates on what you take part inSign-ups, event reminders, live streams, bookings, support, parcels, classifieds and certificates

The Performance review category, on by default: cycle opened, reminder of pending reviews and result released, in the Performance review space.

The Goals & OKRs category, on by default: check-in reminder for your key results and objectives aligned to yours, in the Goals & OKRs space.

The 1:1 category, on by default: series created, meeting rescheduled (both with a calendar invite) and the reminder 24 hours before with the agenda, in the 1:1 space. None carries a note.

The Channels: mentions and replies category, on by default: when someone mentions you or replies in a thread you follow in a channel and you don't read it within 10 minutes; at most one e-mail per channel every 6 hours, never with the message text.

The Upvote: topics you support category, on by default: for the author and whoever voted, when a topic on an Upvote board changes state (with the note or the reason), is reopened or is merged into another; for the staff, each new topic. Only for whoever still has access to the space.

The Automations category, on by default: the e-mails of the community's workflows (welcome, reminders, congratulations).

The Join requests category, on by default and only for the owner and admins (other roles don't see it): the notice of new requests from sign-up with approval, at most one an hour. The answers to the candidate (approved, rejected, expired) have no category: they always arrive.

The first seven are the new content notices: one e-mail when the team publishes something new in a space you have access to.

What always arrives

"Security, receipts and legal notices always arrive." Even with every category off, you get: password recovery and change, sign-in alerts, access and verification codes, purchase and renewal receipts, and legal notices.

The shortcuts

Above the categories, four buttons show and change the state at once:

ShortcutWhat it does
Receive everythingTurns every category on
Block announcementsTurns off only Team announcements; the community's notices keep coming
Block allTurns every category off; only what always arrives still arrives
CustomShows up by itself when you change a category and the state matches no shortcut

Each change is saved right away ("Preference saved.").

Whoever had chosen before stays as they were: whoever blocked announcements sees everything on except Team announcements, and whoever blocked all e-mails sees everything off. The new categories start on for whoever received everything. Nobody gets an e-mail because of this change.

One-click unsubscribe

Every new content, recognition, feedback and message notice has the link No more notices in its footer. It turns off only that category, without asking you to sign in, and opens the confirmation "You won't receive Events notices from anymore.", with two buttons:

  • Undo: turns the category back on right away ("You'll receive Events notices from again."). The other e-mails stay as they were.
  • Manage all e-mails: asks you to sign in and opens My Account › Notices with the category highlighted.

The link is personal, for this community and this category; it gives access to nothing else. The unsubscribe button that Gmail and other providers show at the top of the e-mail has the same effect. A tampered link shows "This unsubscribe link is not valid. Nothing was changed."

Campaigns keep their own unsubscribe, which turns off Team announcements or every e-mail. See E-mail campaigns › Unsubscribe.

Frequently asked questions

Does the team see what I turned off? No. When publishing, the team only sees how many people will get the notice, already without those who turned the category off.

I turned off Events. Do I still get the reminder of the event I signed up for? Yes: the reminder belongs to Reminders and updates on what you take part in. Events is only the new event notice.

I blocked everything and got a receipt e-mail. Receipts, security and legal notices always arrive.

Does the choice apply to all my communities? No. Each community has its own; switch community and open the tab again.

Through the assistant (MCP)

get_my_email_preferences shows your preference in this community, with the categories and the shortcut; update_my_email_preferences changes a shortcut (all, campaigns_off or none) or categories ({ "events": false }). Each person only reads and changes their own. See Tools · Members.

In the API

GET and PUT /api/members/me/email-preferences, with X-CommunityId: the answer carries categories (each category, on or off, with the label in the person's language) and shortcut (all, campaigns-off, none or custom); the PUT takes shortcut or categories ({ "events": false }). The one-click unsubscribe uses /api/public/email-unsubscribe/{token} (GET reads, POST turns off, POST .../undo turns back on), with no sign-in.
