Companies
The community's companies, with each one's team and, in a coworking, the residence type, the plans and products the company can buy, the billing details and the dates. The company subscribes and pays with its CNPJ, access covers the whole team and the credits sit in a company wallet; the company admin buys, pays and invites colleagues in My company.
Companies bring together the community's people who work together: the startup in room 3 of a coworking, an association's member firm, a client company in a customer community. Each company has a name and a team, and one of the people can be the company admin and look after their own team, without depending on management.
A company works for any community. In a coworking space it gets the optional Coworking block (Company in the coworking space), which stores the residence type, the plans and products the company can buy, the billing details (legal name, CNPJ and billing e-mail) and the start and exit dates. A company subscribes and pays in its own name, with its CNPJ: the plan it buys gives access to the whole team, and the plan's credits go to a company wallet, which pays for bookings by anyone on the team.
A company is not a member: it has no login and does not appear in the member list or in the counts. The people on the team are the ones who join the community, each with their own account.
What it is for
| Situation | Companies |
|---|---|
| Private office | The front desk registers the company and invites the partner; she adds the other five employees |
| Fixed desk | The company subscribes to the Fixed desk plan under its CNPJ, and the five employees join without each paying |
| Meeting room credits | The company plan's credits sit in its wallet, and any employee books the room with them |
| Virtual office | The company exists on file even with nobody working in the space every day |
| A community that is not a coworking | The company is just a name and a team, without the Coworking block |
| Staff turnover | The company admin removes whoever left and invites whoever arrived, by e-mail |
| End of contract | The team closes the company and decides, in one click, whether everyone leaves with it |
How it works
Where it is
- Administration › Members, Companies section: the list of companies, for the owner, the admin, finance and the moderator. This is where you edit, invite and close. The New company button is in the Members header, for the owner and the admin. Old Companies links lead to this tab.
- My company, in your photo's panel, at the top: the company you are on and its team. The item only appears for people on a company's team. Every employee sees the What you get through your company card on the Team tab; the company admin also sees the Purchase, Billing and Credits tabs.
- Billing (My Account › Billing,
/account?tab=billing; the old/billingleads there): people with access through a company see the Through your company {name} card at the top, with the company's plans and the See my company link.
The company's data
The New company (and Edit company) form has two columns:
- General: the Company name, the only required field. It is how the company appears in the list and in My company. Right below, the Notify only the company's admins about parcels switch: off (the default), "Every employee with access to the parcels space gets the e-mail."; on, "Only the company's admins get the e-mail when a parcel arrives for it." See Parcels › Parcels for a company.
- Coworking, with a switch. On ("Company in the coworking space: type, offers, billing and dates."), it shows the fields below. Off ("Turn on if the company is in the coworking space."), they stay empty and the company is just a name and a team.
| Coworking block field | What it is |
|---|---|
| Residence type | Private office, Fixed desk or Virtual office |
| Plans and products | The plans and products the company can buy, as many as you like. Digital products only (courses, events, physical products and downloads are left out). The company admin buys each one in My company › Purchase, at the product's price: no amount is typed here |
| Billing details | Legal name, CNPJ and Billing e-mail: who the payment processor charges. Optional; the company admin can complete them at checkout, and what they fill in is saved on the company |
| Start | The date the company joined the coworking space |
| Planned exit | Optional. Cannot be before the start |
A company is Active until it is closed. With coworking on and the Planned exit filled in and in the past, it shows as Ended by date in the list, but the team stays linked until someone actually closes the company (see Close a company). Without a planned exit, only closing it by hand ends it.
Who sees what
| Company list | Coworking block, subscriptions, purchases and credits | Register, edit and close | Grant and adjust company credits | Buy and pay for the company | Invite and remove on the team | Mark the company admin | |
|---|---|---|---|---|---|---|---|
| Owner and admin | Yes | Yes | Yes | Yes | No | Yes | Yes |
| Finance | Yes | Yes | No | No | No | No | No |
| Moderator | Yes | No | No | No | No | No | No |
| Company admin | No (sees theirs in My company) | Their own company's billing, purchases and credits | No | No | Yes, while the company is active | Yes, in their own company, while it is active (the invite depends on acceptance) | No |
| Member | No | No | No | No | No | No | No |
- Finance sees everything, without editing.
- The moderator sees only each company's name, badge and team, without the Coworking block.
- In the company detail, with coworking on, the owner, the admin and finance see the Coworking card (type and dates), Offers (each plan or product with its price, for example "R$ 640.00 per month", and the Copy purchase link button), Billing (legal name, CNPJ and billing e-mail), the company's Subscriptions and Purchases, and the Company credits section, with the balance and the statement.
- The member does not see the list. If they are on a company's team, they see theirs in My company.
- The company admin sees My company with the team and the Purchase, Billing and Credits tabs. They can invite and remove colleagues, buy and pay while the company is active. Other employees see the team and the What you get through your company card, with no prices.
The company subscribes and pays
The company is the subscriber: the subscription, the purchase, the card and the billing are in its name, under its CNPJ, not in the name of whoever clicked buy.
- Who buys: only the company admin, in My company › Purchase, among the plans and products chosen in the Coworking block. The community team does not buy for the company; it sends the purchase link.
- Checkout in company mode: it is the Store checkout, with the notice "Bought on behalf of …: the subscription belongs to the company, under its CNPJ." and the Company details block (Legal name and CNPJ, prefilled from the billing details). The CNPJ is required ("Enter the company's CNPJ."). Coupons work as usual, with the limits counted for the company.
- No trial period: "Company purchases have no trial period: billing starts on day one." A product priced at zero cannot be bought for the company.
- 100% coupon: a coupon that brings the total to zero (a one-off product, or a plan with a 100% forever coupon, no add-ons) lets the company buy with no payment and no CNPJ, through Get it free. The confirmation says "Purchased for {company}", access already applies to the team, and renewals charge nothing while the coupon covers them. On a plan, a 100% once or repeating coupon is refused. See 100% coupon.
- Access for the whole team: while the subscription or purchase is active, everyone with a live link to the team has access to what the plan or product unlocks (spaces, content, courses). Whoever leaves the team loses the access that came from the company. A closed company, or one whose planned exit has passed, gives no one access (the last day still counts) and is not billed.
- Plan already subscribed: an employee cannot subscribe again, on their own, to a plan the company already pays for: the checkout refuses, because the plan is already active for them.
- Billing: in My company › Billing, the company admin sees each of the company's subscriptions, with Pay now when the renewal is overdue (see Pay now), Change plan, Add an extension (the add-ons require the company's plan) and Cancel subscription, and below them the Company purchases. The renewal charges the company's card.
- Billing e-mails: the payment, receipt, failure, overdue, renewal, payment link, refund and cancellation e-mails of a company purchase or subscription go to the billing e-mail and to each company admin, once per address, with the Company line. The sales notice the community receives shows the company, the billing e-mail and Bought by (the admin who placed the order).
- In the team's lists: the company's purchase shows in Sales with the company's name as the buyer, and the search in Sales and Subscription management also finds the company by name. The company never counts as a member.
The company's credits
The credits of the plans and products the company buys go to the company wallet, not to the buyer's. The owner and the admin also grant and adjust company credits (Grant credits and Adjust balance, in the detail's Company credits section); finance sees them without changing anything.
- Who uses them: anyone on the team, when booking a room or a time slot, picks Company balance or My balance under Pay with. See Bookings.
- Who sees them: the owner, the admin, finance and the company admin (Credits tab of My company). In the statement, each booking use shows Used by and the name of whoever booked.
- Refunds: canceling the booking, marking a no-show or releasing the room for lack of check-in returns the credits to whoever paid: the company or the person.
What the team gets through the company
On My company › Team, every employee (not only the admin) sees the What you get through your company card: "The plans and products your company keeps active for the whole team, and the company credits you can use."
- The company's active plans and products, each with its type (Plan or the product type), the Spaces unlocked and the Included content. A plan that unlocks nothing specific shows "Does not unlock specific spaces or content."
- Company credits: the balance the person can use when booking, by choosing to pay with the company, and the expiry notice ("N credits expire on …") when a batch is about to expire.
- No prices and no billing: amounts, subscriptions and payments stay in the company admin's tabs.
- With nothing active, the card says "Nothing active through your company right now". With the company closed: "The company has ended and no longer gives the team access."
On the Billing page, people with access through a company see the Through your company {name} card, with the company's plans right below (for example Through your company Acme Tecnologia and Private office monthly) and the See my company link. That way nobody subscribes on their own to what the company already pays for.
The team and the company admin
Each company's team shows the Company admin badge on whoever is admin, and a badge for how they joined:
- Joined through the company: the person came to the community through the company's invite.
- Already a community member: the person was already in the community and only got the link to the company.
The owner or the admin marks an employee as company admin with Make admin (and undoes it with Remove admin). The company admin invites colleagues by e-mail and removes whoever left. They do not change the company's data or mark another admin.
Invitation with acceptance
The invite works in two ways, depending on who sends it:
| Who invites | What happens |
|---|---|
| Community owner or admin | Links right away. Someone already a member joins the team with no e-mail; someone who is not yet joins the community as a member, receives the invite by e-mail and already shows on the team |
| Company admin | The person receives an invitation by e-mail and joins the team only when they accept, even if they are already in the community. Someone who is not a member yet also receives the community invite and joins it as a member |
The company admin's invitations that have not been answered yet appear under Pending invitations (N), each with the e-mail and "Sent on …". The list shows only the e-mail typed, never whether the person was already in the community.
Limits
- A person is on one company only. When the owner or the admin invites someone already on another company's team, the invite is refused: "This person is already on another company's team." With the company admin's invite, the refusal only shows to the person, when accepting: "You are already on another company's team; leave it before accepting this invitation."
- The invite respects the community's lock: if it is not accepting new members, the invite is refused ("The community is not accepting new members right now.").
- The invite respects people who declined invites: whoever asked not to take part in the community does not get the e-mail ("… asked not to take part in this community; the invitation was not sent.").
- The company admin sends up to 30 invitations an hour; beyond that, the screen asks to try again later. The community owner and admin have no such limit.
- A closed company does not accept invites, and its admin no longer invites or removes anyone. The community owner and admin can still remove.
Step by step
Register a company
Owner or admin.
- Open Administration › Members and click New company, in the header.
- Under General, fill in the Company name and, if only the company's admins should be told about its parcels, turn on Notify only the company's admins about parcels.
- If it is in the coworking space, turn on the Coworking switch and choose the Residence type, the Plans and products it can buy and the Start. The Billing details and the Planned exit are optional.
- Click Register. The company appears in the Companies tab, still with no team.
To change the data later, open the company and use Edit.
Send the purchase link
Owner, admin or finance.
- Open the company in Administration › Members, Companies section.
- On the Offers card, click Copy purchase link ("Purchase link copied.").
- Send the link to the company admin. Whoever opens it signs in to the community (if not signed in yet) and lands on My company › Purchase.
With no offer picked, the card says "No offers picked. In Edit, choose the plans and products the company can buy."
Buy for the company
The company admin.
- Open My company and the Purchase tab (or the purchase link the team sent).
- Choose the plan (Subscribe) or the product (Buy).
- At checkout, check the Company details (legal name and CNPJ, required) and choose the payment method.
- Finish. The subscription shows in the Billing tab, and the whole team gets the plan's access.
An employee who is not the admin sees "Only the company admin buys plans and products for it. Talk to your company admin."; someone on no company sees that the link is for the admin of a company. With the company closed: "The company is closed: it can no longer buy anything."
Pay, change plan or cancel
The company admin.
- Open My company › Billing.
- On the subscription, use Pay now (overdue renewal), Change plan, Add an extension or Cancel subscription. Everything works as on a member's Billing page, but the charge goes to the company's CNPJ.
The card used in Pay now becomes the company's card for the next renewals.
Grant credits to the company
Owner or admin.
- Open the company and scroll to Company credits.
- Click Grant credits (a new lot, with a reason and an optional expiry) or Adjust balance (add or remove, with a reason).
Invite to the team
Owner, admin or the company admin.
- Open the company (in Administration › Members, Companies section, or in My company if you are its admin) and click Invite.
- Enter the E-mail and, if the person has no account yet, the Name.
- The owner and the admin can tick Company admin right in the invite.
- Click Invite.
Inviting as owner or admin, someone who is not a member yet joins the community as a member and receives the invite by e-mail; they already show on the team ("Invite sent to …; they are already on the team."). Someone who is already a member only joins the team, with no e-mail ("… was already a member and joined the team.").
Inviting as company admin, the screen says "They get an invitation by e-mail and join the team only when they accept." and, once sent, "Invitation sent. They join the team when they accept." The invitation stays under Pending invitations until the person answers.
Accept or decline an invitation
The person invited by the company admin.
- Open the link in the e-mail (View invitation). It leads to My company; when not signed in, the screen asks "Sign in to see your invitation".
- The card shows "You were invited to the company … by …", with "You only join the team if you accept."
- Click Accept or Decline.
Accepting shows "You joined the team of …" and the page then shows the company and the team. Declining shows "Invitation from … declined.": declining is final, and joining later needs a new invitation. An invitation already answered, or opened with another account, shows "This invitation is no longer available: it was already answered or belongs to another account."
Mark the company admin
Owner or admin.
- Open the company and find the person under Team.
- Click Make admin. To undo, Remove admin.
Remove someone from the team
Owner, admin or the company admin.
- Under Team, click Remove next to the person.
- Read the warning and confirm.
What happens depends on how the person joined:
| How they joined | What happens | Button |
|---|---|---|
| Joined through the company | Leaves the team and the community, and loses access | Remove from company and community |
| Already a community member | Only loses the link to the company and stays in the community | Remove from company |
Someone who joined through the company but later got another role in the community (moderator, for example) stays in the community and only loses the link. The company and the rest of the team stay as they are.
When someone is removed from the team, billing for the removed person is suspended; the subscription stays on record until it is canceled. To end it for good, cancel it in Subscription management.
Close a company
Owner or admin.
- Open the company and click Close.
- The option Remove all N people from the team comes ticked. Unticked, the team stays linked to the closed company, and you can remove each person later.
- Click Close company.
The company stops accepting invites, and its admin no longer invites or removes anyone. The record and the Coworking block stay on file, with the date under Closed on. With removal ticked, the same rule as removing someone applies: whoever joined through the company also leaves the community; whoever was already a member only loses the link. A closed company cannot be reopened; for the same company to come back, register it again. The parcels waiting for the company stay stored, with the Company closed badge, with no e-mail notice or reminder, and the employees stop seeing them.
With coworking on, when the Planned exit passes, the screen warns "The contract is over. Close the company to decide what happens to the team.": the date alone removes nobody.
See your company
Anyone on a company's team.
Click your photo, at the top, and then My company. The page shows the company, the team and the What you get through your company card (the company's plans, content and credits; see What the team gets through the company). If you are its admin, it shows "You are a company admin: you can invite and remove people from the team.", with the buttons for that, the Pending invitations and the Purchase, Billing and Credits tabs ("The company's credits pay for bookings by anyone on the team. The statement shows who used each one."). With the company closed, the page shows Company closed and "Inviting or removing people from the team is no longer possible."
A pending invitation also shows here, for the invited person to accept or decline.
Examples
Startup in a private office. The admin registers Acme Tecnologia, turns on Coworking and chooses Private office, the Private office monthly plan under Plans and products and a start on 11/1. They invite the partner, [email protected], with Company admin ticked, and send her the purchase link. Maria signs in, subscribes to the plan in Purchase with Acme's CNPJ and, under Team, invites the other four employees. Each joins the team on accepting the invite and already has the plan's access.
Meeting room with the company's credits. Acme's plan gives 20 credits a month, which go to the company wallet. João books Room 2 and picks Company balance under Pay with. In the company statement, the use shows Used by João; if he cancels within the window, the credits go back to the company.
An employee who left. Maria removes João from the team. He had joined through the company's invite, so he also leaves the community and loses access.
End of contract. Acme moves out at the end of the year. The admin opens the company, clicks Close with Remove all 5 people from the team ticked and confirms. The record stays in the history. The closed company is no longer billed and gives no access.

Frequently asked questions
Does choosing a plan or a product in the form charge the company? No. It only goes on the list of what the company can buy. Billing starts when the company admin buys in My company › Purchase.
Does each employee need to subscribe? No. The company's plan gives access to the whole team with a live link.
Does the company get a trial period? No. Company billing starts on day one.
My community is not a coworking. Can I use companies? Yes. Leave the Coworking switch off: the company keeps just the name and the team.
Does the company count as a member? No. Only the people on the team are members.
Does the company admin see what the company pays? Yes: in My company, the Purchase and Billing tabs show the prices, the subscriptions and the purchases. Other employees see the team and what they get through the company, with no prices.
How does an employee know what they get through the company? On My company › Team, in the What you get through your company card: the active plans and products, the spaces and content they unlock and the company credits. On the Billing page, the Through your company card links there.
Who gets the billing e-mails? The company's billing e-mail and each company admin.
Can a person work for two companies? No. Each person is on one company only.
Why doesn't the person I invited show on the team? Because the company admin's invite depends on acceptance. Until they answer, the invitation stays under Pending invitations.
Can a parcel be registered for the company? Yes. At the front desk of the Parcels space, the recipient search shows the company with the Company badge. Any current employee with access to the space sees the parcel in My parcels ("For {name}") and picks it up; someone who leaves the company stops seeing it.
Does closing the company erase the history? No. The record and the Coworking block stay on file. A closed company no longer gives access and is no longer billed.
Through the assistant
There are 14 tools: the community team lists and reads companies (with the subscriptions and the credit balance); the owner and the admin register (with the offers and the billing details), edit, close and mark the company admin; anyone on a company's team sees their own, and its admin invites (with acceptance) and removes colleagues; the invited person sees, accepts and declines their own invitations. Closing, removing and declining ask for confirmation. create_company and update_company accept parcel_notice_admins_only, so only the company's admins get the parcel notice. For "what do I get through my company?", the assistant uses get_my_company, which returns the company's plans, content and credits. See Tools · Companies and the recipe Register a company.
The company admin also handles billing through the conversation: sees the company's subscriptions and purchases (list_my_subscriptions with company_id), pays an overdue renewal (pay_my_subscription_now), adds an add-on, changes plan and cancels, and reads the credit wallet (get_company_credit_balance). Anything that moves money asks for confirmation, and through the assistant payment is only by PIX or boleto: buying for the company and the card stay in the app.
