Plan and extensions
What the community's Memberfy plan includes - the Plan and usage page in Settings, the member cap with notices at 90% and 100% (nobody is blocked), the Planning & HR and Coworking extensions, the AI, SMS, WhatsApp, video, campaign, workflow e-mail and storage quotas (with the annual carry-over), the "Powered by Memberfy" mark, the rule for a subscription that counts and, for the SuperAdmin, plan values and exceptions.
Every community is on a Memberfy plan, and the plan says what the community gets: how many members are included, whether the Planning & HR and Coworking extensions are unlocked and whether the "Powered by Memberfy" mark shows. See the plans at memberfy.net/pricing.
The Plan and usage page
In Administration › Settings › Plan and usage, the owner and the admin see What the plan includes:
| What | What it shows |
|---|---|
| Plan | The Memberfy plan and the subscription status (Active, Trial, Payment due…) |
| Billing option and Current period | How the plan is billed and the period dates |
| Add-ons | The add-ons in place, which add members or turn on extensions |
| Members | The usage bar: "{used} of {cap}" and the percentage of the cap |
| What is included | Members included in the plan, extra members, both extensions (Included or Not included) and the mark (Shown in the menu and in e-mails or Not shown) |
The tab is read-only: to change plans, talk to Memberfy. A Special terms agreed with Memberfy shows with its validity ("Special terms until 12/31/2026"). Without a plan, or with a plan subscription that doesn't count, the community gets the Memberfy default.
The member cap
The cap is the members included in the plan plus the extra members. It warns and never blocks: nobody is kept out and nothing stops working.
- At 90%, the tab shows "The community is close to the plan's member cap." and the owner gets an email.
- At 100%, the tab shows "The community has passed the plan's member cap. No one is blocked; contact Memberfy to raise it." and the owner gets another email, copied to Memberfy.
Each notice goes out once per plan period.
Active workflows
The plan sets how many workflows can be on at the same time: 3 on Starter, 10 on Growth, 30 on Business and no limit on Scale. With the limit reached, turning on or resuming another one is refused with the limit and the way out (pause or stop another one, or change your plan); the ones already on keep running. The SuperAdmin can grant a community an exception.
On Business and Scale, the workflows' Call webhook block goes out from fixed IPs, up to 10,000 calls a month; on the other plans, from changing IPs.
Plan quotas
The plan sets how much the community uses of what costs per use, counting everyone, the team included:
| Quota | Starter | Growth | Business | Scale |
|---|---|---|---|---|
| AI transcription minutes a month (the Drop audio the AI turns into text) | 60 | 150 | 300 | 500 |
| AI uses a month (each AI text in Improve with AI, in a Drop's description and in a lesson's text) | 1,000 | 2,000 | 4,000 | 6,000 |
| SMS a month | — | 10 | 25 | 40 |
| WhatsApp a month | — | — | 300 | 500 |
| Converted video minutes a month (by the length of the uploaded video) | — | 10 | 30 | 50 |
| Campaign recipients a month | 1,500 | 4,000 | 15,000 | 30,000 |
| Workflow e-mails a day | 40 | 80 | 200 | 350 |
| Storage for videos and files | 5 GB | 25 GB | 100 GB | 250 GB |
A dash means the plan doesn't include it: SMS comes from Growth up, WhatsApp only on Business and Scale, and video conversion from Growth up. See SMS and WhatsApp notices. Phone verification codes don't count against the SMS quota.
When a quota renews
- Monthly plan (or a community without a plan): quotas renew on the 1st, at midnight in the community's time zone, and what's left doesn't carry over to the next month.
- Annual plan: monthly quotas add up until renewal. What's available is the monthly quota times the months of the term so far, minus what was used in the term; at renewal the count starts again. On annual Business, for example, a community that sent no WhatsApp in the first two months has 900 available in the third.
- The carry-over applies to AI, SMS, WhatsApp, converted video and campaign recipients. It doesn't apply to daily limits (workflow e-mails and the SMS and WhatsApp daily cap) or to storage.
- Business and Scale calls through the fixed IP also restart on day 1, at midnight in the community's time zone, and don't carry over on an annual plan.
What happens at the limit
The rest of the community keeps working; only the action behind that quota stops, until the quota renews or the plan changes.
| Quota | At the limit |
|---|---|
| AI | The AI buttons say the quota is over ("The community has reached its plan's monthly limit of AI text uses. Write without AI for now or talk to whoever manages the community."; on a Drop, "…monthly limit of transcription minutes…"). You can write without AI |
| SMS and WhatsApp | Sending stops until the quota renews; in a workflow, the step waits for quota |
| Converted video | The video is accepted and plays from the original file, without the conversion to adaptive streaming. The team sees "This video will play in its original format: the plan's 30 conversion minutes for this month are used up. To convert more, change your plan." |
| Campaign recipients | The send is refused before it starts, saying how many fit: "This campaign would go to 2,000 people, but the plan has 1,200 e-mail recipients left in this period. Narrow the audience, wait until … or change your plan." A scheduled or automatic send that doesn't fit is skipped, and the owner gets the e-mail "Your campaign … was not sent" |
| Workflow e-mails | What goes over the day waits for the next day (see When sending is deferred) |
| Storage | Only new uploads are refused: "The community's storage reached the plan's limit of 25 GB. Files already here stay; to upload more, free up space or change your plan." Nothing already stored goes offline |
Transactional e-mails are never limited. Purchase and registration confirmations, receipts, invitations, password resets, tickets and the other e-mails a person needs always go out and count against no quota.
In Settings › Plan and usage, the AI usage this month card shows both AI bars, each with "Used X of Y" (or "Used X · Unlimited") and "Since {date}". SMS and WhatsApp usage shows on each channel's card, and the campaign sends left, in the send and schedule windows. The SuperAdmin changes the values and grants exceptions as with the other variables.
Extensions
The modules on the Planning & HR and Coworking tabs of Add Space belong to extensions. When the plan doesn't include the extension, the tab shows a lock and Get the extension: "This extension is not in the community's plan. Its modules become available once the extension is added." Spaces of those modules can't be created or changed. See Modules.
If the community loses an extension, the spaces that already existed stay, but only the owner, the admin and the moderator see them; no data is lost.
The "Powered by Memberfy" mark
Depending on the plan, the community shows "Powered by Memberfy" at the foot of the side menu and in the emails it sends. On plans that remove the mark, it shows nowhere.
When a subscription counts
One rule decides whether a subscription gives access right now, for the community's plan and for the plans the community sells to members (spaces, posts and products included in the plan):
| Status | Counts? |
|---|---|
| Active (also with a scheduled cancellation, until the end of the period) | Yes |
| Trial | Yes |
| Payment due | Yes, for up to 7 days late |
| Paused, canceled or expired | No |
With paid sign-up (the Allow free user registration? switch off), a member without a subscription that counts is treated as a visitor: they only see what is public. The team (owner, admin, moderator and finance) is exempt. See Sign-up and access.
In the Memberfy community (SuperAdmin)
The SuperAdmin sets what each plan includes, in the Memberfy community:
- What this plan includes, in the plan dialog, and What this option includes, in the dialog of a billing option or add-on. It applies to every community on that plan within a minute. Left blank, the plan doesn't set the variable and the default applies.
- Default for communities without a plan, in Monetization › Plans: what a community without a plan gets.
- Plan and exceptions, in a community's detail: what applies to it and where it comes from (default, plan, add-on or exception), and the exceptions, with value, Reason and validity (Valid from, Valid until). An exception replaces the plan while it is valid; End exception puts the community back on its plan and keeps the record. The reason is internal: the community only sees "Special terms" and the validity.
Through the assistant
get_plan_entitlements reads what the plan includes and the member usage; list_space_modules shows which modules are locked. See Tools · Community › Plan and extensions.
