Balance and statement
The community's financial dashboard (total revenue, available for payout, retained and pending), each kind of statement line, release times by method, the chargeback reserve and the CSV export.
The community's money lives under Monetization › Dashboard. That is where you see how much came in, how much you can already pay out and where every cent came from.
What it's for
- Knowing how much you can pay out today.
- Checking a sale, a refund or a dispute.
- Closing the month with your accountant: the statement exported as CSV has every movement with its date and amount.
How it works
The four numbers
| Number | What it is |
|---|---|
| Total Revenue | Everything that came into the community, with the platform fee already taken out |
| Available for Payout | What has passed the payment method's waiting period and can go to your account |
| Retained (Reserve) | The chargeback reserve: 4% of each card sale, for 30 days |
| Pending (Settlement) | Sales still within the payment method's waiting period |
The dashboard shows when it was Updated and has a Refresh button.
Release times
Every sale comes in as Pending and becomes Available after the method's waiting period:
| Method | Available |
|---|---|
| PIX | On the day of payment |
| Boleto | 1 day after clearing |
| Card (upfront or in installments) | 30 days after the sale |
The chargeback reserve
On a card sale, 4% is held for 30 days, the period in which the cardholder can still dispute the purchase with the bank (the chargeback). After that, the amount goes back to the balance on its own. If there is a dispute within that period, the reserve covers part of it.
The statement
In Latest Transactions (and View All), each sale, payout or dispute is one line, with the amount it moved in the balance. Click the line (or the arrow next to it) and it opens to show what came in and each debit, on its own line.
Collapsed:
| Line | Amount |
|---|---|
| Sale · Growth · Monthly (PIX) | + R$ 117.49 |
Expanded:
| Line | Amount |
|---|---|
| Received | + R$ 129.00 |
| Platform fee (6.99% + R$ 2.49) | − R$ 11.51 |
| You received R$ 117.49 |
The debits that can show up inside a line:
| Debit | Where it shows up |
|---|---|
| Platform fee, with the percentage and the fixed amount | On every sale |
| Installment interest | On a card sale in 2 or more installments, whoever paid the interest. See Annual in installments |
| Chargeback fee | On a dispute |
| Payout transfer fee | On a payout |
Behind each line are the statement entries. They are what shows up in the type filter and in the CSV:
| Type | What it is |
|---|---|
| Sale (Gross) | The amount charged to the buyer |
| Platform Fee | The sale's platform fee: 6.99% + R$ 2.49 |
| Installment interest | Memberfy's installment interest on a card sale in installments |
| Sale (Net) | What is left for the community after the debits. It doesn't show as a line in the expanded statement: it is the amount on the collapsed line |
| Chargeback Reserve | The 4% held from a card sale |
| Reserve Released | The reserve returned to the balance after 30 days |
| Settlement | The sale moving from pending to available |
| Refund | An amount returned to the buyer |
| Chargeback | A dispute opened by the cardholder |
| Payout Requested | The payout request, which leaves the balance |
| Payout fee | The R$ 3.67 of each payout |
| Payout Completed | The transfer went through |
| Payout Failed | The transfer didn't happen; the amount goes back to the balance |
| Manual Adjustment | A correction made by the Memberfy team, with the reason in the description |
The statement is never rewritten. A refund, a chargeback or a failed payout come in as new entries, never deleting the earlier one. The balance is the sum of the entries, so you can check where every cent came from.
Filter and export
Filter by type and use Export CSV to take the statement to a spreadsheet or to your accountant.
Who sees it
Owner, admin and finance. Moderators and members don't see it.
Step by step: check a sale
Role: owner, admin or finance.
- Monetization › Dashboard.
- In Latest Transactions, click View All and find the sale by date and product.
- The collapsed line shows what was left for the community.
- Click the line to open it: Received, the Platform fee and, if any, the Installment interest, each on its own line.
Step by step: close the month with your accountant
Role: owner, admin or finance. Give your accountant the Finance role and they can do this themselves.
- Monetization › Dashboard › View All.
- Use Export CSV.
- In the spreadsheet, filter the month by date.
- Add up Sale (Gross) for the month's revenue, Platform Fee and Payout fee for what the community paid Memberfy, and Refund and Chargeback for what went back to buyers.
- Match the Payouts Completed against the deposits on your bank statement.
Refunds and disputes
A refund is a sale returned to the buyer. It goes into the statement as a Refund line, which lowers the balance, and the buyer gets "Refund of R$ … for …"; the community gets the notice "Refund issued".
A chargeback is when the cardholder disputes the purchase directly with the bank. It goes in as a Chargeback line, with the disputed amount, and the community gets "Chargeback opened: …". The 4% reserve on card sales exists to cover part of these cases. To reduce disputes, use clear product names (that is what shows on the card statement) and answer refund requests quickly.
Examples with numbers
A R$ 100 PIX sale, on the 10th. Collapsed, the line shows Sale · Course (PIX), + R$ 90.52. Expanded:

|---|---|
| Received | + R$ 100.00 |
| Platform fee (6.99% + R$ 2.49) | − R$ 9.48 |

On top of that, R$ 12.00 (4%) is held as Chargeback Reserve for 30 days.

The same sale in 10 installments on the card, with the interest paid by the organization. Interest for 7× to 12×: 6.00% of R$ 300, R$ 18.00. Expanded:

Common errors and how to fix them
| Situation | Why |
|---|---|
| I made a sale and Available didn't change | The sale is within the method's waiting period; look at Pending |
| Available went down without a payout | A refund or a chargeback went into the statement |
| I don't see the Monetization tab | Your role isn't owner, admin or finance |
| We could not load the balance. | Click Refresh |
Frequently asked questions
Does the statement show the payment processor's cost? No. What the community pays is the platform fee, and that is what shows.

Does the statement include sales from all of my company's communities? No. Each community has its own till and its own statement.
