Download your data

How to request, in My Account › Privacy, a ZIP file with what the community keeps about you, what comes in it (including the access record of the last 6 months), the e-mail with the link, the 72-hour window, the limit of one request every 24 hours and the request made by the team on your behalf.

You can download, in a ZIP file, what the community keeps about you: profile, purchases, subscriptions, registrations, posts, messages, answers and the files you uploaded.

What it is for

To have a copy of your data, keep it before deleting your account or take it somewhere else. It is your right of access and portability (LGPD and GDPR), served by the screen itself, without having to ask anyone.

How it works

Where it is

In My Account › Privacy, the Download my data card, right before Delete my account. Anyone in the community requests it for their own account: member, moderator, finance, admin and owner.

The request

Download my data opens the window "Enter your password to confirm. The file is available for 72 hours, and you can ask for a new one every 24 hours.". With your password, Build the file requests the export: "We are building the file with your data. The link goes to your e-mail when it is ready."

The file is built in the background and can take a few minutes. Meanwhile, the card shows Building the file.

Someone without a password cannot request it alone ("Your account has no password. Ask the community team for the export."): create a password with Forgot password? on the sign-in screen, or ask the team (see Requested by the team).

The e-mail and the download

When the file is ready, you get the e-mail "Your data from … is ready", with the Download my data button and the date until which the file exists. The e-mail link does not download anything on its own: it asks you to sign in with your account in this community ("Sign in to download the file"), and only then does the download start. That way, a forwarded e-mail does not hand your data to someone else.

You can also download from the card, in My Account › Privacy: Download the file, with "Available until …".

  • The file exists for 72 hours after it is ready. After that, it is deleted, and the card shows File expired: request it again.
  • Each download click creates a new link, valid for 5 minutes. If it expires before you use it, just click again.

What comes in the file

The ZIP has a README.txt in your language, explaining each part, and one file per area:

  • profile, sign-up fields, groups and company;
  • consents and contact preferences (e-mail, SMS, WhatsApp, notifications);
  • purchases, coupons, credits and saved cards (last digits only) and subscriptions;
  • registrations, tickets, bookings and networking;
  • posts and comments and the private messages sent and received;
  • form and survey answers;
  • time tracking, attendance and the reviews, 1:1s, development plans and feedback in which you are the person reviewed;
  • certificates, points, courses, activity and access.

Your access record comes in acessos.csv: one line per day and per IP for the last 6 months, with the day, the IP and the first and last time of access, in UTC. It is the record the law requires keeping for 6 months; no one in the community sees it. See The access record.

The files you uploaded (photo, cover and attachments) come in the files/ folder, up to 100 MB in total. Whatever goes beyond that size comes as a link in README.txt, and each link is also valid for 72 hours.

Not included: the team's internal notes about you, other people's data (beyond the name of whoever appears in a conversation or a record) and internal costs. Access to the team's notes is requested from the community itself, which is the controller of that data.

SMS and WhatsApp. SMS and WhatsApp records tied to your number (such as having replied STOP) are only included if your phone is verified by code. Without verification, nothing guarantees the number is yours, and those records are left out.

One request at a time

  • While an export is being built, you cannot request another one: "Your export is still being built."
  • After a request, the next one only 24 hours later: "You can ask for a new export from …". A request that failed does not count.

The limit applies to your request and the team's together.

Requested by the team

Someone who cannot request it alone asks the community, by e-mail or another channel. The owner and the admin handle it, for someone with a role below their own (the admin for moderator, finance and member; the owner also for the admin):

  1. In Administration › Members, open the person's edit window (Edit Member Profile).
  2. Click Export this person's data. The window reminds you: "Do this only at the person's own request. The link goes to their e-mail, not to the team: only they can download it."
  3. Write the Reason (required), from 3 to 1,000 characters, for example "Member's request by e-mail on 11/01/2026.", and click Build the export.

The file goes only to the person. The e-mail reaches them ("The … team built, at your request, the file with your data."), and only they can download it, by signing in with their own account: the team cannot download it, not even when it made the request. The reason goes to the activity log, with who requested it and when. On the person's card, "Requested by the team at your request on …" appears.

Moderator and finance do not request on the person's behalf. Your own export you request on your card, in My Account › Privacy.

Step by step

Role: anyone, over their own account.

  1. Open My Account › Privacy and, in the Download my data card, click Download my data.
  2. Enter your password and click Build the file.
  3. When the e-mail "Your data from … is ready" arrives, click Download my data and sign in with your account. Or go back to the card and click Download the file.
  4. Download within 72 hours. After that, request it again.

Frequently asked questions

Does the team see what is in my file? No. Even when the team requests it for you, the link goes to your e-mail and only you download it.

The e-mail link expired. What now? The e-mail link takes you to the platform, which creates a new 5-minute link on each click. While the file exists (72 hours), just click again. After that, request another export.

Why didn't my SMS records come? Because your phone is not verified. Verify the number and request again after 24 hours.

Does downloading my data delete my account? No. The export only copies. To delete, see Delete your account.

Does the file include my data from other communities? No. Each community has its own account and its own file; request it in each one.

Through the assistant

Ask the AI assistant connected to the community (Claude, ChatGPT and others): "export my data". export_my_data asks for confirmation before building the file and does not ask for the password; get_my_data_export shows where the request stands. The file arrives by e-mail only: the assistant does not hand over the file or the link, and you download it by signing in with your account, as in the app. The same one-at-a-time and 24-hour rules apply.

For the team, export_member_data (owner and admin, on a role below their own, with the member and the reason) also asks for confirmation; the e-mail goes to the person, never to the team.

In the API

  • GET /api/privacy/exports reads the latest export and when a new request is accepted (canRequest, nextAvailableAt). See getMyDataExport.
  • POST /api/privacy/exports requests the export, with password. It answers 202; 409 with one being built; 429 with data.nextAvailableAt before the 24 hours. See requestMyDataExport.
  • GET /api/privacy/exports/{exportId}/download returns the signed link, valid for 5 minutes (redirect=true redirects straight away). The person only; 409 still building, 410 expired. See downloadMyDataExport.
  • POST /api/privacy/members/{memberId}/exports, with reason (3 to 1,000 characters), by the owner or admin of the X-CommunityId, for a role below their own. See exportMemberData.
